Why Brands Waste Up to 200 Hours a Year on Sports Sponsorship

Sports sponsorship is booming. At the same time, most brands are still working with tools that were built for a different era.
Excel lists.
Email threads.
Handwritten notes after phone calls.
And somewhere in a shared folder, the contracts — if you're lucky

This is not an isolated case. It's the standard.

The Real Problem Is Not Finding

Most brands think their sponsorship problem is a scouting problem. Too few suitable athletes. Too little reach. Too little budget.
Wrong.
We conducted personal interviews with decision-makers from leading sports brands during the Challenge Roth. The result was clear: The biggest problem is not finding athletes. It's the screening and management that follows.

Brands lose up to 200 hours per year — and that's just for scouting. Just through unsuitable requests, manual screening, and decentralized communication in the selection process. The time spent on actively managing the athletes afterwards is not even included.

The Structural Contradiction

53% of brands choose athletes primarily based on personality and values. But in the end, almost exclusively reach is measured.
This is not a mistake made by individual marketing managers. It's a structural problem: Personality is hard to pack into a table column. Reach is easier.
And as long as there is no system that combines both dimensions — fit and performance — gut feeling decides. And gut feeling doesn't scale.

Why Social Media Tracking Tools Are Not Enough

Many brands are now using tools that track social media metrics. Followers, engagement, reach — everything at a glance.
That's a good start. But it only solves part of the problem.
What these tools can't do: Manage contract data. Keep track of contract durations and payments. Send announcements directly to athletes. Centrally document the status of a cooperation. And most importantly: Find pre-qualified new athletes and integrate them directly into the existing system.

Scouting and management remain separate. The manual effort remains.

47% Have No Structured Program — Although They Already Sponsor

Perhaps the most surprising result of our interviews: 47% of the brands surveyed have no structured ambassador program — although they are already actively sponsoring athletes.

This means: The partnerships exist. But the infrastructure behind them is missing.
No unified onboarding process.
No central reporting.
No clear KPIs per athlete.
Those who work like this cannot scale. And those who cannot scale miss the opportunity to turn individual partnerships into a real strategic asset.

What a Professional Ambassador Management System Must Do Today

The requirements are clear — if you once identify what's missing:

  • A central dashboard that shows all requests, matches, and ongoing collaborations at a glance.
  • A scouting system that doesn't filter by follower count, but by real fit — values, sport, target group, professionalism.
  • Contract data per athlete, always up-to-date and centrally accessible.
  • Direct communication with the ambassador portfolio — without email ping-pong.
  • And in the long term: automated tracking of cooperation performance, directly linked to the athletes' social media channels via the Meta API.

This is not a wish list. This is the infrastructure that brands need to professionally manage sports sponsorship.

Where athleteXhub Comes In

Precisely this gap is closed by the athleteXhub Ambassador Management System.
