aXh Ambassador Management System

From Excel Chaos to a Structured Ambassador Programme — How the aXh Ambassador Management System Works Today

Most brands we speak to have the same setup: an Excel list with athlete names. An email folder with requests. And somewhere, a note of when each contract expires.

This works — until it doesn't. Until the portfolio grows. Until the season starts. Until someone asks how much budget is currently tied up.
That's where the athleteXhub Ambassador Management System, or AMS for short, comes in.

What's Already Possible — V1 Live

The AMS has been live since October 2026. Here's what brands can already use:

  • Invite existing athletes directly. Brands don't have to start from scratch. Those who already have an ambassador portfolio can invite these athletes directly to the platform — and manage them centrally from there.
  • Manage contract data per athlete. Contract durations, compensation, status — all centrally documented. No searching through email threads. No asking colleagues for information.
  • Send announcements directly. Updates, campaign briefings, new requirements — directly to the entire ambassador portfolio or individual athletes. No email ping-pong.
  • Central overview. A dashboard that shows all requests, top matches, and ongoing activities at a glance — the daily starting point for the sponsoring team.
  • Athlete scouting with matching score. Brands set their values, sports, and requirements — and see directly which athletes really fit. Only with 100% agreement can athletes make contact. No scatter loss, no manual filtering.

What it Costs — and What Remains Free

The basic function is permanently free for brands. Scouting, dashboard, matching — without costs, without risk.
The monthly plan for the AMS starts at €590 for 20 athletes. Those who grow beyond that will have their package scaled accordingly.
Additionally, 15% is only paid on successfully paid deals. No deal — no commission.

What's Coming Next — the Pipeline

V1 is just the beginning. What's coming in the next few months:

  • Meta-API integration. Precise tracking of all assets and collaborations directly via the athletes' social media channels — no longer manual, but automated and in real-time.
  • Website plugin for pre-filtering. Brands can pre-filter athletes on their own website — before they even come onto the platform.
  • Academy individualisation. Brands can store their own briefings and onboarding courses directly in the academy.
  • Extended reporting. KPI tracking per athlete, per campaign, per channel.
Event calendar for brands. All races and events of their own ambassadors at a glance.

Why this is Different from Pure Social Media Tracking Tools

Social media tracking tools show followers, engagement, and reach. That's useful — but it's only a snapshot.

What they can't do: manage contract data. Find new athletes pre-qualified. Send announcements directly. Map the entire lifecycle of a collaboration — from the first request to the end of the contract — in one place.

athleteXhub combines both: scouting and management in one system. Those who currently work with a tracking tool can continue to do so — and use athleteXhub as a structural basis underneath.

The Next Step

We'd be happy to talk to brands that want to professionalise their ambassador programme — whether they're working with 5 or 50 athletes.
No pitch. No sales talk. An honest conversation about whether and how athleteXhub can help you.
